Job Description
Summary of Position
XO Institute is seeking a [Contract] Events Director to oversee all aspects of client rentals for current event spaces as well as the new event space on the 3rd floor. This position will be responsible for the new venue’s launch, marketing, community engagement, and rental operations. This individual will serve as the public face of the space, manage daily logistics, and guide the successful onboarding and transition to a long-term Events Coordinator, if needed. This is a contract position with the potential to transition to full-time following the contract term.
Job Responsibilities:
Venue Development & Marketing
- Serve as the primary point of contact for the event space and act as a liaison between the venue and the broader XO team.
- Develop a deep understanding of the venue’s specifications, marketing assets, lead generation and booking system, policies, pricing structure and operational procedures.
- Collaborate with the XO team to finalize marketing materials, including one-sheets, digital brochures, community announcements and events.
- Assist in building a preferred vendor list for client recommendations.
Community Engagement & Outreach
- Lead proactive outreach to community partners including:
- Local hotels and venues
- Corporate and association meeting planners
- Chambers of Commerce and tourism boards
- Wedding and event planning organizations
- Represent the venue and event spaces at local, regional and national industry events and develop relationships that generate interest, leads and referrals.
- Plan and execute at least one community or industry open house to introduce the new venue.
Client & Event Management
- Conduct on-site tours and planning sessions with prospective clients.
- Coordinate event logistics and vendor communication for each event, from intake form through event execution and load-out.
- Be present for all booked events to manage on-site execution and address any day-of needs.
- Ensure exceptional client service and a high level of professionalism at all touchpoints.
Team Onboarding & Training
- Recruit and train a contract Events Coordinator to support ongoing operations.
- Provide access to systems, contacts, and training to ensure a smooth handoff of responsibilities.
- Collaborate with the Events Coordinator to co-manage event planning and execution.
Operational Oversight & Transition Planning
- Continue managing client communication, bookings, and calendar oversight.
- Evaluate marketing effectiveness and identify opportunities for outreach or optimization.
- Facilitate a full transition of client-facing responsibilities to the Events Coordinator, when needed
- Ensure the Events Coordinator is fully equipped to assume long-term responsibilities.
- Prepare comprehensive documentation including:
- Event history and active client files
- Finalized preferred vendor list
- Updated marketing and outreach strategy

- The employee must frequently lift and/or move up to 10 lbs. and occasionally lift and/or move up to 25 lbs.
