Job Description

Summary of Position

XO Institute is looking for a Business Office Coordinator. The ideal candidate will have strong organizational, financial, and administrative skills, along with a basic understanding of data analytics. We’re seeking someone who is detail-oriented, self-motivated, and capable of supporting both financial operations and office procedures.

This position plays a critical role in ensuring the accuracy and integrity of our internal financial systems, donor reporting, and business operations. The successful candidate will help develop reporting processes, maintain data integrity, assist with income and expense tracking, and support the overall financial and operational health of the organization.

Job Responsibilities:

  • Load data in various formats, apply validation rules, and troubleshoot data issues
  • Coordinate and communicate weekly data reports with management, cross-functional teams, and clients
  • Utilize database programs and run data queries
  • Execute secure and effective data procedures
  • Collaborate with other team members, technical specialists, project managers, and data analysts
  • Train, manage, and support end users as needed
  • Maintain the integrity of our data structure
  • Pull and report daily income numbers to leadership from Stripe, Anedot, and bank accounts
  • Enter daily income amounts into QuickBooks
  • Invoice customers/sponsors for product purchases, facility rentals, or sponsorship agreements using Bill.com
  • Follow up with past due customers/sponsors
  • Manage credit card reconciliation by ensuring receipts are submitted and properly coded in Dext and QuickBooks
  • Reconcile credit card accounts in QuickBooks
  • Assist with entering invoices for Accounts Payable in Bill.com
  • Support the daily donation batch process to ensure contributions are deposited and recorded in Salesforce
  • Assist as needed with fulfillment of Shopify orders

General Skills & Qualifications:

  • Experience with QuickBooks, Salesforce, or comparable CRM platforms preferred
  • Strong computer literacy (Mac OS, Gmail, Word, Excel, Slack, Google Docs, etc.)
  • Comfortable running database queries and managing data integrity
  • Ability to collaborate across departments and teams
  • Strong attention to detail and organizational skills
  • Willingness to lead or train others as needed
  • Ability to manage data or financial figures in multiple formats/languages if necessary
  • Believer in Christ whose morals and values align with the mission and vision of XO Marriage

  • Sit/stand for long periods of time
  • Occasionally kneel, or crouch
  • The employee must frequently lift and/or move up to 10 lbs. and occasionally lift and/or move up to 25 lbs.
